What You Need to Know About Shredding

I get asked a lot about shredding and while it is an important part of getting and staying organized, many people know little about it.  Here is some information that may help you make the right choices when it comes to shredding.

What Should Be Shredded?

  • Any document, which contains confidential material (designs, proposals, plans, and drafts of such information.)
  • Any document which could be used for the purpose of identity theft (social security numbers, customer lists, credit applications, tax returns, etc).
  • Any document which could cause harm in the hands of criminals or competitors (canceled checks, price lists, business plans, credit card numbers)
  • Any document which is mandated to be protected by laws such as HIPAA (health care), GLB (financial) or FACTA (general).

Do I have to remove staples, small / medium binder clips, paper clips, tape, or rubber bands?

  • No, you do not remove those items. The following items should not and can not be shredded: Large binder clips, 3 ring binders, plastic, carbon paper, cardboard, and metal.

Do you recycle the paper?

  • Yes, the paper is recycled after it is shredded.

Why should I use an outside service, rather than shredding the paper internally?

  • It is almost always more expensive to shred in-house.
  • The security of shredding in-house is also important. Much of what you want to destroy is probably confidential information you don’t want your average or entry level employee to see, such as payroll information, business plans, etc.

How often will you come to shred documents?

  • We will come as often you need. We will interview you to determine your needs and then set up a schedule. We remain flexible as your needs change. If you have an exceptional one-time need, we will change the schedule to meet your needs.

How much are the containers?

 

  • The lockable security containers are provided to you FREE of charge, provided the container(s) are emptied and shredded at least once a month by us or a rental fee will apply.. You can choose from a variety of container types.

Why don’t I just send the paper to a recycler?

  • You lose a certain amount of security when you send the paper to a recycler.
  • Your confidential information is often hand sorted (graded) by recycling company personnel, which means they could take whatever information they want.
  • Recycling services may use open collection containers which are accessible to anyone, staff, janitors, etc.
  • Generally, the employees of recycling service companies are not security screened, bonded and insured.
  • Our employees do not see any individual pieces of paper. The containers are emptied into the shredding compartment mechanically. Our people do not hand feed the shredder. Everything is fully automated.
